Sub-processors

Closot (operated by Betaque Private Limited) engages the third-party sub-processors listed below to deliver the Services described in our Terms of Service and Privacy Policy. Each sub-processor is contractually bound to process Customer Data only on documented instructions from Closot and to maintain confidentiality and security obligations consistent with applicable law (including GDPR Article 28 and India’s Digital Personal Data Protection Act, 2023). Customer Data is shared with a sub-processor only to the extent strictly necessary for the function described.

1. Infrastructure & Hosting

  • Amazon Web Services, Inc. (AWS) — Compute (EC2) for the Closot API.

  • Vercel Inc. — Hosting and global edge delivery of the Closot web application at app.closot.com and the marketing site at closot.com.

2. Data Stores

  • MongoDB, Inc. (MongoDB Atlas) — Managed primary database storing workspace content, user accounts, comments, integration metadata, and encrypted OAuth tokens.

  • Managed Redis service — Transient queue state for asynchronous jobs and short-lived deduplication keys for inbound Slack and GitHub events. No long-term Customer Data.

  • Meilisearch SAS — Full-text search index over workspace content (pages, comments, attachment metadata) used to power in-app search and command-palette results. Indexed content is scoped to workspaces the requesting user has access to.

  • Pinecone Systems, Inc. — Vector embeddings of workspace content used to power semantic search and AI retrieval. Embeddings are derived from content the requesting user already has access to.

3. Identity & Third-party Integrations

  • Slack Technologies, LLC (Salesforce) — Slack OAuth, Web API, Events API, and interactivity endpoints used to deliver the Closot Slack integration.

  • Google LLC — Google OAuth (sign-in to Closot), Google Calendar API, Gmail API, and outbound email delivery via SMTP (Google Workspace).

  • GitHub, Inc. (Microsoft) — GitHub OAuth and GitHub Apps API used to deliver the Closot GitHub integration.

4. Specialized Feature Services

  • Vexa AI — Meeting-bot and real-time transcription API used to capture and transcribe meeting audio when a Closot user explicitly initiates a meeting capture. Audio is processed transiently by Vexa for transcription; the resulting transcript is returned to Closot and stored within the customer's workspace.

5. AI Inference Providers

  • OpenAI, OpCo, LLC — LLM inference for AI features in Closot. Requests are processed per-request only; OpenAI does not use API Customer Data to train its models by default under its API terms.

  • Google LLC (Generative AI API) — LLM inference for AI features in Closot via the Google Generative AI API. Requests are processed per-request only under Google's API terms.

6. Notification of Changes

We may add or replace sub-processors as we evolve the Services. We will update this page before any material change takes effect and, where required by an applicable Data Processing Addendum, will provide reasonable advance notice to affected customers. Customers may subscribe to notifications of changes by emailing privacy@closot.com.

7. International Transfers

Several sub-processors process Customer Data in the United States. Where Closot transfers personal data from the European Economic Area, the United Kingdom, or India to a sub-processor in another jurisdiction, the transfer is protected by the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Addendum, or other lawful transfer mechanisms recognised under the applicable data protection law.
